1. Agreement to Terms

By engaging Every Mile Counts Travel, LLC ("we," "us," "our"), you ("Client") agree to these Terms in full before proceeding with any consultation, booking, or travel planning service.

2. About Our Services

Every Mile Counts Travel, LLC is a boutique travel agency specializing in family, luxury, and accessible travel, affiliated with World Via host agency and Travel Leaders Network. We act as an independent travel advisor and do not own or operate any airline, hotel, cruise line, tour operator, or other travel supplier.

Services include: travel consultations, custom itinerary design, supplier research, booking management, and pre-departure support.

3. Fees & Payment

• Consultation Fee: May apply depending on scope; agreed upon in writing before your consultation and non-refundable once it has taken place.
• Planning Fee: May be quoted based on complexity, duration, and party size. Due upon signing; non-refundable once planning has commenced.
• Supplier Commissions: We may receive commissions from travel suppliers. These do not increase your travel cost.
• Deposits & Final Payments: Supplier deadlines vary and will be communicated at booking. Client is responsible for timely payment.

4. Cancellation & Refund Policy

• Service Fees: Non-refundable once services have commenced. Cancellations within 48 hours of signing may receive a refund at our discretion.
• Supplier Bookings: Subject to each supplier's cancellation policy; may result in partial or full forfeiture of funds.
• Travel Insurance: Strongly recommended. We can assist with obtaining a quote. Declining is at the client's own risk.

5. Client Responsibilities

You agree to: provide accurate information for all travelers (legal names, dates of birth, dietary and accessibility needs); review all documents within 24 hours; ensure valid passports, visas, and required documentation; comply with health and entry requirements of all destinations; and maintain respectful communication with our team.

6. Accessibility Travel

We are committed to meaningful travel for clients of all abilities. While we verify accessibility features to the best of our ability, we cannot guarantee third-party accessibility information. Please communicate all specific needs clearly so we can advocate effectively on your behalf.

7. Limitation of Liability

Every Mile Counts Travel acts solely as agent for travel suppliers and is not responsible for personal injury, property damage, supplier failures, or force majeure events (weather, natural disasters, political unrest, pandemics, or government restrictions). Liability is limited to planning fees paid directly to us.

8. Privacy & Data

Client information is collected solely for travel planning and is not sold or shared with third parties except as required to complete bookings on your behalf.

9. Communication

Our primary communication method is email. You are responsible for monitoring your inbox and responding promptly to time-sensitive requests.

10. Governing Law

These Terms are governed by the laws of the Commonwealth of Pennsylvania.

11. Amendments

We reserve the right to update these Terms at any time. Clients will be notified of material changes via email. Continued engagement constitutes acceptance.
